Our major O&G client is seeking a Document Controller to join their team in Port Arthur, TX for a 1-year assignment.

Job Overview

We are seeking a highly organized and experienced Document Controller to manage and maintain critical project and operational documents for our refinery operations. The ideal candidate will have at least 5 years of hands-on document control experience in the oil & gas or refining industry, with a strong understanding of refinery terminology and the ability to work seamlessly with engineers, project managers, and field teams. This role will be responsible for developing and enforcing document control plans, building and maintaining file structures, versioning documents, and creating processes that ensure accurate, consistent, and timely document management across multiple projects and departments.

Key Responsibilities

Document Control & Management:

  • Develop, implement, and maintain Document Control Plans tailored for refinery projects and operations.
  • Establish and enforce consistent file structures to support easy access, version control, and proper archiving of all documents.
  • Manage the issuance, versioning, transmittal, and retrieval of technical documentation, including drawings, data sheets, procedures, and vendor documentation.
  • Ensure all controlled documents meet internal standards and align with regulatory and company requirements.
  • Create and manage document registers, ensuring real-time tracking of revisions, approvals, and distributions.

Process Development & Optimization

  • Build out and continuously improve document control processes, ensuring they are scalable and fit-for-purpose for both project and operational needs.
  • Train internal teams on document control processes and tools, ensuring consistency across departments.
  • Identify gaps in existing document control procedures and develop corrective actions to drive compliance and efficiency.

Interface With Teams

  • Work directly with engineering, maintenance, projects, turnaround teams, and external vendors to manage document flow and ensure proper communication of document changes.
  • Act as the point of contact for document requests, ensuring quick and accurate retrieval.
  • Facilitate document handover processes for capital projects, ensuring operational readiness.

Compliance & Quality

  • Ensure document control processes meet regulatory, internal audit, and project requirements.
  • Perform regular quality checks to ensure documentation is accurate, properly formatted, and aligned with naming conventions and filing standards.

Must Have

  • Minimum 5 years of Document Control experience in oil & gas, refining, or petrochemical industries
  • Strong understanding of refinery terminology and typical document types (P&IDs, isometrics, MOCs, equipment datasheets, vendor docs, QA/QC records, etc.)
  • Proven experience building file structures, document libraries, and version control processes from the ground up
  • Strong knowledge of document control systems (e.g., SharePoint, Aconex, Documentum, or similar platforms)
  • Experience developing Document Control Plans for major projects and operational environments
  • High attention to detail with excellent organizational skills
  • Ability to work under pressure and manage competing priorities across multiple teams
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)

Preferred

  • Previous experience supporting capital projects, turnarounds, or major maintenance events in a refinery environment
  • Experience developing standard operating procedures (SOPs) for document control
  • Familiarity with regulatory documentation requirements (e.g., OSHA, API, ISO standards)
  • Previous experience working directly with engineering teams on technical document control processes
