Job Description

We are currently seeking a Project Manager to support our team with the intent of transitioning this individual into a full-time, permanent role if it proves to be a mutual fit. This position is critical to the success of several internal initiatives and requires someone who is exceptionally detail-oriented, deadline-driven, and takes pride in delivering polished, high-quality work.
  • Pay range is dependent on level of experience can range from $50k-$80k
What We Need:
  • A proactive Project Manager who thrives in a fast-paced environment and can manage multiple concurrent projects without dropping the ball.
  • Someone with strong organizational skills, professional communication, and the ability to independently take ownership of deliverables.
  • Proficiency in Microsoft Excel, Outlook, and general data systems. Salesforce experience is a strong plus.
  • Experience in project coordination, event planning, marketing support, and/or administrative operations is ideal.
Responsibilities:

Project & Administrative Management
  • Own monthly reporting deliverables, maintain Salesforce records, and manage tracking spreadsheets.
  • Maintain consistency and quality across all recurring and ad hoc tasks with minimal supervision.

Event & Convention Coordination

  • Register attendees, manage travel and booth logistics, track expenses, and coordinate post-event follow-up.
  • Maintain convention schedules, documentation, and communications across departments.

Marketing & Promo Item Management

  • Order and distribute promo items for events and outreach campaigns.
  • Assist with branded content, email campaigns, mailers, and social media coordination.

Sales Meeting & Special Event Planning

  • Plan and execute corporate meetings and client & referral source-facing parties/sporting events across multiple markets.
  • Coordinate venues, catering, entertainment, travel, guest lists, RSVPs, name tags, gifts, and more.

Summer Internship Program Coordination

  • Support summer intern onboarding, project tracking, meeting logistics, and program execution.
Membership & Vendor Oversight
  • Manage contract and membership renewals across various platforms and associations.
  • Communicate with vendors for services, pricing, and timelines.

 

Required Qualifications:
  • 3+ years of experience in project coordination, events, or high-level admin support.
  • Incredibly organized, process-driven, and motivated by deadlines and results.
  • Professional communicator who can work cross-functionally and manage competing priorities with ease.
  • Comfortable wearing many hats, juggling multiple projects, and producing consistently excellent work.
  • Interested in growing with a dynamic team and transitioning into a long-term position.
