Job Description

We are seeking a reliable, detail-oriented Administrative Office Clerk to join an award winning team in a fast-paced construction environment. This role requires proficiency in QuickBooks, strong attention to detail, and excellent customer service skills. The ideal candidate will be responsible for handling administrative tasks, service calls, writing up service tickets, and assisting with office operations to ensure smooth and efficient business processes.

Responsibilities:
Perform daily data entry and updates into QuickBooks Desktop
Reconcile accounts and assist with month-end and year-end close processes.
Manage vendor billing and purchase orders.
Ensure timely and accurate processing of payments and deposits.
Answer and direct service calls, responding to customer inquiries related to construction projects and services.
Create and update service tickets, ensuring all necessary information is captured accurately.
Track progress of ongoing service calls and provide updates to customers as needed.
Collaborate with project managers and technicians to ensure service issues are resolved efficiently and effectively.
Write up detailed service tickets for ongoing and completed projects, ensuring all work performed is clearly documented.
Maintain a filing system (digital and/or paper) for all service tickets, contracts, and other essential documents.
Review completed tickets and ensure all tasks are accurately captured and follow up on pending tasks.
Handle customer inquiries professionally and promptly via phone, email, or in person.
Assist in scheduling service calls and maintaining a calendar for technician appointments.
Maintain positive relationships with clients and vendors, ensuring a high level of customer satisfaction.
Resolve any service-related issues or escalate them to the appropriate person when necessary.
Assist with general office tasks such as filing, faxing, scanning, and organizing office supplies.
Help maintain office equipment and order supplies as needed.
Provide administrative support to management and other departments as required.
Assist with maintaining office policies, procedures, and internal systems.
Prepare and edit correspondence, reports, and other documents as needed.

Working hours: 8:00 AM - 5:00 PM

Skills:
Minimum of 2-3 years of experience in an administrative or office support role, ideally in the construction industry.
Strong knowledge of QuickBooks for accounting and financial management.
Previous experience in customer service or handling service calls is highly preferred.

Education:
High School

Experience:
4-7 years

Qualifications:
Excellent attention to detail with strong organizational and time management abilities.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Strong verbal and written communication skills.
Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
Strong problem-solving skills and the ability to work independently.
QuickBooks desktop experience
